How To Return Leads in Lead Prosper

Lead Prosper now offers our users the ability to return sold leads that a buyer may want to return. There are endless reasons why a buyer may want to return the leads, and it is their responsibility to provide you with a reason as to why they are returning each lead. Just as it is required for the buyer to give a reason for the return, it is also as important for you as the seller to review each of their return reasons and decide whether you deem them valid reasons and to essentially approve the refund.

To get started with returning a lead you must first obtain a CSV file from your buyer that has at least the following columns:

  • Lead Identifier - This is any field in the lead data that can be used as a unique identifier when returning the lead, such as email, phone number, etc. 
  • Return Reason - This is a basic description as to why they are returning the lead.
  • Lead Sold Date - The date in which the lead was sold to the buyer.

These column headers can be named anything the buyer wants as long as you as the user uploading the file can identify what field needs to be mapped where. After you have receiver the CSV from your buyer it is highly recommended to review each lead’s return reason and if you do not want to refund any of those leads to remove them from the list.

When you’re ready to begin the return log in to your Lead Prosper account, and select Leads > Returns from the left hand menu. On the next page you will see a list of all of your previously processed returns, including data points such as Status, Match, Not Matched, Failed, Total, and you will have the option to download the return files as well. These return files contain individual CSV files for each Supplier that provided the leads that were returned so that you can reach out out to them and have them process the returns for you on their end. 

When you are ready to start your return hit the blue New Return button, and a pop up modal will appear. In the first step of the return process you will be required to select the Campaign that the leads are being returned to, the time period, and the buyer that is returning the leads.

The next step will be to upload the CSV file with the returned leads. Select your file, hit upload, and you will be brought to the next step where you will have to map 3 fields:

  1. Unique Lead Identifier (File) - This unique lead identifier is the field / data point in the CSV that you will be using to match the lead in the file to the lead in your campaign. It can be anything unique to the lead, such as email, phone number, etc. 
  2. Unique Field Identifier (Campaign) - This will be the campaign field that you will be mapping the unique identifier in the file to, so if you chose email as the unique identifier for the file then you would select the email field for your campaign.
  3. Return Reason (File) - This will be the column in your field that contains the return reason your buyer provided for why they are returning the lead, and will be used for record keeping purposes.

You can use the DATA PREVIEW window to browse the different columns in your file to ensure that you are choosing the proper column names, and then when you are ready to continue hit NEXT.

For the final steps of the return you can add up to 3 email addresses to receive the notification after the return is processed. You can also choose how to handle a return if there are multiple records that match the lead identifier from the previous step. There are two options here:

  1. Return All - This will take any leads that are found to have the same unique identifier and return all of those leads. Examples of when this might occur could be if your buyer received the same lead multiple times and wants to return all of the leads.
  2. Return All Except One - Same logic as above where the buyer may have gotten the same lead multiple times but only wants to return the duplicates and keep one.

And finally you will be provided with a screen to confirm all of the return data - Campaign, Selected Dates, Buyer, Unique Field Mapping, Reason Field Mapping, Notification Emails, and the Multiple Match Strategy. Once everything is confirmed all that is left to do is check the “I confirm…” box and hit Proceed With Return, and your return will be processed.

Once the return has finished processing you will be able to review the following post-return numbers:

  1. Matched - The number of leads that were successfully matched and returned.
  2. Not Matched - The number of leads that were unable to be matched and therefore were not returned.
  3. Failed - The number of leads that may have matched but failed to process for any number of reasons, for example maybe the lead was in a different campaign or had a different buyer than was specific for the return, or could be that the lead had already been returned previously.
  4. Total - The total number of all leads processed in the return.

You will also be able to download the processed files from the return. Each return will process a number of files, including a list of all unmatched leads, and individual files for each Supplier that had a lead returned. If you are purchasing leads from a Supplier you can then take those files and supply them back to the Supplier to have them return the leads on their end so you are not charged for them.

And that is pretty much it for how to process a return. When you are viewing your leads from within Lead Prosper now you will see a green Returned tag for all leads that have been returned, and if you click that lead and view it from within the modal you will see the lead return details, including the date of return and the return reason.
